About the role

The Registration Specialist performs routine clerical duties associated with registering patients, gathering insurance and demographic information, and obtaining appropriate referrals or authorization for patient visits. This position works closely with the Business Office and Front Desk Team Lead to ensure customer service is the first priority at check-in and that all daily tasks are completed accurately and on time. They must maintain current reference materials on insurance plans.

Responsibilities

  • Greets and checks in visitors and/or vendors to the clinic according to established protocol and directs them to appropriate locations.
  • Ensures the clinic is open on time according to the established checklist and adequately staffed for daily volume.
  • Strives for excellent customer service by treating patients and visitors professionally and courteously at all times.
  • Monitors the lobby to ensure patients are accommodated and keeps them apprised of estimated waiting times.
  • Offers assistance if patients or visitors encounter difficulties.
  • Maintains up-to-date reference materials on insurance plans as provided by the manager.
  • Researches insurance information provided by patients to identify participation with OCR and referral requirements.

Requirements

  • High School Diploma or equivalent is required.
  • Minimum 1 year of experience in a customer-facing service position; medical office reception experience is a plus.
  • Working knowledge of Microsoft Office Suite or related software, scheduling and medical records software, and similar computer applications.
  • Ability to quickly learn multi-line phone systems.
  • Core competencies in customer service, interpersonal skills, communication, teamwork, attendance/punctuality, and confidentiality.

Physical Requirements

  • Work environment is a typical office setting with distractions such as staff, patients, vendors, ringing telephones, and interruptions.
  • Frequently required to sit and use hands to handle objects, tools, or controls for up to 8 hours a day.
  • Frequently required to talk or hear and must speak articulately.
  • Occasionally required to stand, walk, reach with hands and arms, stoop, kneel, crouch, or crawl.
  • May occasionally lift and/or move up to 25 pounds safely.
  • Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Schedule

  • Monday: 1:00 PM – 4:00 PM
  • Tuesday: 7:45 AM – 10:45 AM
  • Wednesday: 9:15 AM – 12:15 PM
  • Thursday: 7:45 AM – 10:45 AM
  • Additional 8 hours per week to be fulfilled as needed between Fort Collins and Loveland offices.
