The Registration/Scheduler II position functions as the department subject matter expert (SME) and is responsible for leading operational tasks and project work in the department. Acts as the first point of contact for all customers. Organizes and facilitates clerical administrative duties of the department. Performs a variety of cross-functional clerical and patient support duties, including telephone, registration, scheduling, clerical administrative duties, and/or data entry as they relate to the department. Responsible for patient chart maintenance and communication with physicians' offices as needed and requested.

Responsibilities

  • Mentor and assist with leading the work efforts of other team members.
  • Serve as department subject matter expert (SME) and lead operational tasks and project work.
  • Perform regular internal audits on department processes and procedures.
  • Provide consultation on complex projects and act as the top-level contributor regarding Epic systems or other related department systems, including systems training and processes.
  • Establish timely patient experience and service recovery efforts, leading staff in these areas.
  • Contact, greet, and communicate with customers, including answering telephone calls, retrieving and responding to voicemail messages, and directing information to the appropriate individual.
  • Orient patients to the department with directions and instructions.
  • Perform imaging support duties as needed:
    • Receive and transfer incoming calls.
    • Generate reports and retrieve images from the PACS system.
    • Assist in maintaining efficient patient workflow.
    • Maintain radiology records and ensure dissemination of files to designated/requesting parties.
    • Ensure patients are appropriately prepared for their exam.
    • Transport patients when necessary.
    • Assist Supervisor and Technologists within the scope of the position as directed.
    • Assist radiologist as directed.
  • Scheduling:
    • Perform a variety of scheduling for procedures, including initial and follow-up appointments.
    • Track no-shows, document in the appropriate system, and communicate with the physician if applicable.
    • Provide schedules in the directed format to staff as needed.
  • Registration:
    • Perform a variety of registration duties, including providing patients with initial registration information, creating and/or choosing the appropriate electronic record, gathering signatures (electronic or otherwise), and coordinating medical authorization/referral and/or financial responsibility.
    • Complete daily data entry and scanning of patient registration information.
    • Obtain authorization from insurance companies as applicable.
    • Collect co-pays and payments required for procedures.
    • Complete and submit daily deposits and/or billing as applicable.
  • In accordance with HIPAA, complete patient chart processes and maintain appropriate information. Communicate with applicable insurance carriers and hospital billing for authorization updates. Ensure appropriate chart information is forwarded to medical records.

  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED required.
  • 1 year of experience in a healthcare-related field with knowledge of medical terminology, or experience in scheduling and/or registration in a healthcare setting (required).
  • 2 years of experience in a healthcare-related field, including scheduling and registration experience, or Patient Access, Outpatient Medical Imaging, Medical scheduling, or closely related experience (preferred).
  • Fingerprint Clearance Card (FPC) – Certificate: Must have a current Fingerprint Clearance card or apply and be eligible for one within seven (7) working days after employment (required for Pediatric Behavioral Health Sites only).

Schedule

7:00 a.m. - 5:00 p.m., hours will vary Monday-Friday.
