Registration Representative (On-Call)
Registers patients to receive medical services in clinic, hospital inpatient, Ambulatory, or Emergency services. Obtains demographic information, validates and verifies insurance, and receives payments based on established protocols. Refers patients to Financial Advocates and answers questions from patients, visitors, and staff. Performs cash handling procedures per SOX control regulations.
Responsibilities
- Registration:
- Greets and registers patients for medical care in clinic, 24/7, or fast-paced settings like the Emergency department.
- Verifies patient demographic and insurance information consistent with National Registration Standards and regional policies.
- Verifies Insurance Eligibility and Benefits (including policy limitations) using approved systems.
- Uses problem-solving skills to verify patient identification and minimize duplicate medical records.
- Interviews patients to obtain payer source, financial, and demographic information; obtains appropriate signatures.
- Verifies, identifies, and inputs Other Coverage Information (OCI), primary, secondary, and tertiary payers.
- Revenue Collection:
- Determines and collects cost-shares and partial payments for services.
- Enters/verifies payments, closes cash drawers, counts currency, checks, and credit card payments, and creates deposits per cash handling policies.
- Maintains billing accuracy and compliance per KPNW and National Revenue Cycle policies.
- Communicates Northwest’s policy on payment of services or prepayment when significant patient liabilities are identified.
- Collects past due balances and refers patients to financial counselors as appropriate.
- Appointing & Messaging:
- Takes messages according to scripts and guidelines.
- Schedules and/or cancels appointments based on member needs and regional policies.
- Makes return appointments and referrals if applicable.
- Regulatory/Organizational Compliance:
- Explains and requests patients to sign regulatory forms such as consent and release forms.
- Makes copies or scans of patient identification, insurance information, and related documents.
- Adheres to rules and regulations of Medicare, Medicaid, Managed Care, and Commercial payers regarding referrals, preauthorization, and pre-certification.
- Completes Medicare Secondary Payer screening information accurately.
- Explains basic KPNW Medical Center and/or clinic policies and procedures to patients.
- General Services:
- Stocks appropriate forms and supplies.
- Handles supplies and equipment in a cost-effective manner per policies, procedures, and infection control guidelines.
- Assists patients by providing phone numbers, facility directions, and office layouts.
- Directs patients to other departments and administrative services (e.g., Membership Services, Dental, Pharmacy).
- May assist with the orientation of new personnel.
- Performs all other duties as assigned consistent with the job description.
Requirements
- Six (6) months of health care financial or six (6) months of cash handling or six (6) months of customer service experience in a high-volume environment.
- Two (2) years of experience keyboarding/typing and navigating multiple computer applications in a Windows environment, including data input.
- High School Diploma or General Education Development (GED) required.
- Excellent verbal and written English communication skills.
- Excellent organizational skills, flexibility, and ability to switch tasks frequently.
- Strong complex problem-solving skills and the ability to make decisions independently.
- Final candidates will complete an approved medical terminology course within six months of hire.
Preferred Qualifications
- Previous hospital or ambulatory clinic registration experience.
- Previous experience with EPIC applications.
- Certification by HFMA or NAHAM.
Schedule
- Variable working days: Sunday through Saturday.
- Working hours: 05:30 AM – 07:15 PM.
- On-call role covering pre-scheduled, next-day, and same-day support by geographic area (East and Central Portland Metro).
- Eligible for differential pay.
Pay
$25.54 - $31.38 per hour. Kaiser Permanente strives to offer a market-competitive total rewards package and is committed to pay equity and transparency. - Primary Location: Mt. Talbert Medical Offices, Clackamas, Oregon.
- Onsite role; worker location must align with Kaiser Permanente’s Authorized States policy.
- Travel: 100% of the time.
