Registration Coordinator - Full Time First Shift

About the role
The Registration Coordinator is a leadership position that supports our registration staff in achieving high-quality, patient-centered care. This role requires the ability to work with all types of patients, from pediatrics to geriatrics, and lead a team of Registration Specialists in providing superior customer service. The Registration Coordinator collaborates with clinical teams, providers, and other departments to ensure seamless, high-quality care. Strong communication skills and the ability to work calmly under stressful conditions are essential. This role may require travel to other Urgent Care sites for training and coverage to ensure consistency across locations. The Registration Coordinator is responsible for achieving patient satisfaction scores measured by monthly surveys.
Responsibilities
- Coordinates daily registration duties, spending 80% of time on routine tasks and staff support.
- Ensures prompt and accurate reception and registration of patients to meet turnaround time standards.
- Maintains confidentiality of patient files and follows established policies for information release.
- Ensures accurate and timely billing processes.
- Handles incoming telephone calls politely, routing them correctly and taking accurate messages.
- Prepares and communicates downtime registration procedures.
- Responds to customer and medical staff complaints related to registration processes.
- Reviews department policy and procedure manual at least annually.
- Audits charts daily to ensure accurate registration information and check for missed charges.
- Audits cashier closeout sheets daily to verify accuracy of collected monies.
- Supervises staff, including preparing and posting work schedules monthly.
- Conducts employee performance evaluations in coordination with the Urgent Care Director.
- Communicates with, counsels, and disciplines employees as needed, completing appropriate documentation.
- Ensures proper training and orientation for employees, recording completion in departmental files.
- Assists in interviewing and selecting clerical employees.
- Conducts reception meetings.
- Maintains adequate supplies and equipment to prevent operational disruptions.
- Monitors equipment condition and reports issues impacting operations to Information Systems.
- Works closely with Information Systems to ensure proper equipment and computer operation.
- Provides input for budget projections, staffing needs, and capital requirements.
- Anticipates changes in workload or equipment performance that may impact the budget.
- Maintains staffing levels and schedules to meet or exceed FTE and salary expense budgets by 5% or less.
- Advises the Director of unusual purchase needs or significant variations in supply usage.
- Cross-trains in all areas of the Urgent Care Center as deemed necessary by the Urgent Care Director.
- Meets the VRE patient satisfaction goal.
Requirements
- High school graduate or equivalent; college or business/office administration courses preferred.
- Two years of medical office or healthcare experience required.
- Two years of supervisory experience in a hospital or similar setting preferred.
- Valid driver’s license and reliable transportation required.
Qualifications
- Typing or word-processing speed of 40 wpm preferred.
- Knowledge of filing systems, computers, and common office equipment.
- Effective human relations skills.
- Knowledge of CPT and ICD-9 coding.
