About the Role
Perform a variety of clerical support tasks with specialized skills in support of guidance/counseling registration and records maintenance. Work involves handling highly confidential materials. Decisions are made in accordance with established precedents and departmental policies, with some independence based on office or system-wide policies.
Responsibilities
- Participate in the registration and withdrawal of students from assigned school; verify student addresses to ensure residency within school boundaries
- Process incoming and outgoing transcripts
- Maintain student files, including permanent records, course/grade files, and graduation records
- Input and retrieve data for narrative and statistical reports
- Communicate grade/course changes to faculty as required
- Assist students and parents with college application preparation
- Process diploma orders and graduation lists
- Prepare reports as requested or assigned
- Assist in obtaining/assigning substitute teachers as needed
- Answer phone inquiries, provide information, transfer calls, or take messages; receive and distribute mail; serve as office receptionist
- Operate typewriters, computer keyboards, and assigned software (word processing, spreadsheet, and database programs); may use additional computer programs
- File correspondence, records, and documents alphabetically or by other assigned categories
- Operate business office equipment such as photocopiers, fax machines, scanners, and calculators
- Assist or serve as backup to other clerical, secretarial, or monitor staff in the assigned school or office
Requirements
- High School Diploma or GED, including or supplemented by courses in typing and office practices
- Good knowledge of business office procedures, practices, and equipment, as well as business English and office terminology
- Good knowledge of or ability to quickly learn guidance/counseling office procedures, policies, and practices
- Ability to type/operate a keyboard at an approved speed, use personal computers and data terminals, and complete routine memos and letters from general instructions
- Ability to maintain hard copy and data file records and prepare reports from such records
- Ability to operate a variety of standard and specialized office equipment, including computer technology, and quickly learn new software
- Ability to organize, categorize, and file documents according to standard procedures
- Ability to understand and follow oral and written instructions and quickly learn office procedures
- Ability to communicate clearly and concisely, both orally and in writing
- Ability to establish and maintain successful working relationships with employees, staff, students, parents, colleges, businesses, and the public
- Some positions may require the ability to monitor, supervise, train, or advise clients, students, or subordinate personnel
- Some responsible office clerical experience, preferably related to the assignment
Physical Requirements & Working Conditions
- Work is performed in classrooms, offices, workstations, and meeting rooms
- Occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying items under 40 pounds (e.g., books, papers, presentation materials)
- Regular use of hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear
- Specific vision abilities required include close vision, color vision, and the ability to adjust focus
- Attendance at conferences and professional development is required
- Work involves everyday risks and discomforts requiring normal safety precautions
- May work prolonged or irregular hours and must maintain emotional control under stress
- Work is subject to frequent interruptions and involves exposure to normal risks in contact with children and young adults
- Some tasks require completion within strict timelines, potentially causing time-sensitive stress
- Most tasks are performed in a sedentary work environment
- Ability to type/operate a computer keyboard for long periods is required
- Ability to transfer, move, and shelve supplies and materials weighing 30 pounds or less, manually or with assistance
