About the role

We are looking to hire a full-time Regional Facilities Manager to work within the growing Facilities Management (FM) team, reporting to the Head of FM. This role is key to our strategic management plan and will focus on 20-25 multi-let industrial properties across a region. The primary focus will be to improve communication and service delivery to each property, engaging with suppliers, occupiers, and Asset Management to provide service excellence.

Responsibilities

  • Asset Value: Maintain awareness of and report all operational issues that may impact the value of the properties.
  • Budgets:
    • Draft service charge budgets for properties under management, covering services such as external grounds maintenance, cleaning, pump maintenance, CCTV & access control, security, drainage, fabric, and H&S works.
    • Monitor budget provisions and report variances to ensure effective use of funds and on-budget year-end delivery.
    • Raise purchase orders for works and authorize invoices for payment.
    • Work with internal and external parties to develop minor and major works strategy plans.
    • Draft minor works specifications, seek comparison costs, and analyze estimates for best value.
  • Contractor Management:
    • Meet with key contract managers to drive performance across hard and soft service lines, reviewing minutes, action plans, and KPIs.
    • Monitor and report on service contractor performance and take appropriate action.
    • Ensure all suppliers adhere to policies and procedures, are conversant with risk, and have updated assignment instructions or maintenance plans.
    • Obtain and analyze compliance and performance reports from suppliers, including environmental reporting aligned with the Company’s ESG Strategy and ISO14001 requirements.
  • Property Maintenance:
    • Identify key areas requiring maintenance planning and liaise with third-party consultants and suppliers to prepare a planned preventative maintenance schedule.
    • Compile and maintain all plans and drawings for the portfolio of properties.
    • Ensure all plant and equipment (including fire equipment) are tested and maintained according to manufacturer specifications; keep records of testing and relevant certificates.
    • Conduct regular inspections of all parts of the building, including common areas and tenant demises.
    • Manage energy and water consumption, reducing utilities usage and increasing efficiency; improve waste minimization and recycling.
    • Procure, instruct, and manage minor works as required.
    • Develop a unit hand-back specification of works in line with property strategy, procure, and project manage to ensure swift letting turn-around.
  • Tenant Liaison:
    • Create and maintain good relationships with tenants.
    • Compile and maintain accurate tenant contact information.
    • Build positive relationships with tenant contacts and hold regular interaction meetings to ensure high customer care.
    • Assist with the compilation and issue of occupier satisfaction studies.
  • Health, Safety, and Risk Management:
    • Organize and coordinate site work with minimal risk to health and safety, complying with legislation, codes of practice, policies, and procedures.
    • Be conversant with the Health and Safety at Work Act 1974 and associated legislation, including water hygiene, asbestos, and working at height.
    • Manage all health and safety matters in the building, utilizing company H&S systems and other record/management systems to ensure full compliance.
    • Ensure maintenance and building work is limited to trained, authorized employees and approved, competent contractors.
    • Ensure necessary permissions, insurances, method statements, and risk assessments are in place before work commences and are adhered to.
    • Control statutory compliance, legislative compliance, and best practices.
    • Ensure high-risk works are controlled by an effective permit-to-work system.
    • In the event of an accident or dangerous occurrence, take temporary measures to make the area safe, ascertain circumstances, and report to the Head of FM and relevant authorities.
    • Record all accidents, incidents, and dangerous occurrences and complete reports in accordance with company policy.
    • Cooperate with visits from consultants and auditors.
  • Reporting:
    • Provide regular reports to the line manager on portfolio performance, existing risks, and viable solutions.
    • Ensure collection of accurate and relevant data relating to contractor performance and provide analysis as required.
    • Provide regular business case proposals for any CAPEX works or service chargeable projects.

Requirements

  • IOSH certification.
  • Experience working in a fast-paced environment.
  • Familiarity with customer service initiatives.
  • Competent understanding of health and safety legislation, including Gas Regulations, Electricity at Work, and Permit to Work systems.
  • Budget management experience.
  • Articulate with excellent written and verbal communication skills.
  • Strong and compassionate people management skills.
  • Practically minded with good IT skills.
  • Ability to work in a small, busy office.
  • Willingness to act as an emergency contact.

Qualifications

  • A recognized qualification in building or facility management (desirable).
  • Previous working engineering background (desirable).
  • Knowledge of building contract management (desirable).
  • Understanding of commercial leases and contract law (desirable).
