Overview

The Recruiting Operations Specialist supports early-identification recruiting and programs. This role is suited for supporting in-person programs and events across the Bay Area. It requires a balance of operational discipline and adaptability to deliver a seamless, engaging experience while upholding the Firm's professional brand.

Responsibilities

  • Serve as the primary point of contact for early-career candidates throughout the interview, offer, and post-acceptance stages.
  • Manage the offer process, including sending offers, tracking status, monitoring expirations, and completing follow-ups.
  • Collaborate with recruiters and interview teams to facilitate timely decisions and communicate offer outcomes and status updates.
  • Maintain accurate candidate records, offer documentation, and start-date rosters to ensure data integrity and alignment with hiring targets.
  • Own candidate communications from acceptance through start date, including required touchpoints, surveys, and documentation.
  • Serve as a liaison for incoming hires, routing questions and requests to the appropriate internal teams.
  • Review academic transcripts, track CPA eligibility progress, and coordinate CPA study materials in partnership with Frank Rimerman University.
  • Support coordination with housing and relocation partners, as needed.
  • Assist in planning and execution of early-identification and internship programs by coordinating logistics (including schedules, calendars, vendors, and internal partners) and preparing program materials, communications, and presentations.
  • Partner with University Recruiting, Recruiting Operations, HR, and other teams to align on program timelines and deliverables.
  • Assist with recruiting operations projects and process improvements as programs and needs evolve.

Qualifications

  • Bachelor’s degree or equivalent work experience.
  • 1–3 years of experience in a professional environment; experience in recruiting coordination or full-cycle recruitment, operations, HR, or program/event support preferred.
  • Proven ability to manage multiple priorities, timelines, and deliverables in a high-volume setting.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Canva.
  • Ability to report into the San Jose office and support in-person programs and events across the Bay Area as needed.
