Recruiting Operations Coordinator
About the role
We’re looking for a Recruiting Operations Coordinator to sit at the intersection of recruiting coordination and operational program support. You will own white-glove scheduling for high-touch hiring pipelines, serve as the on-site recruiting-coordination presence in our San Francisco office, and act as a core member of the Recruiting Operations team—contributing to the systems, tools, and processes that keep the function running. This is an entry-level program-management role that flexes between recruiting coordination and operational program support; the balance will shift based on hiring volume and team needs. You will be one of the first permanent, full-time recruiting coordinators at Plaid, serve as the function lead for Recruiting Coordination, and report into the Head of Recruiting Operations.
Responsibilities
- Own end-to-end scheduling for high-touch, high-visibility pipelines
- Serve as the on-site recruiting-coordination presence in the SF office: welcome and escort candidates, manage day-of logistics, and deliver a seamless interview experience
- Act as the function lead for Recruiting Coordination, serving as the first line of contact for escalated scheduling questions, candidate issues, and process gaps across the recruiting-coordination team
- Flex into broader scheduling support during peak hiring periods, including university-recruiting season
- Monitor and triage RecOps Slack channels, ensuring timely responses to recruiter and hiring-manager requests
- Administer Plaid’s Linear account across the recruiting and operations teams, supporting project management and tooling tracking (RecOps backlog, feature requests, open vendor items)
- Support RecOps leadership with project-management basics: track milestones, document action items, and move initiatives forward
- Contribute to process documentation, system maintenance, and ad hoc tooling tasks
Requirements
- 4+ years of experience in recruiting coordination, with a track record in high-volume or high-touch scheduling environments
- Proficiency with a major ATS (Ashby, Greenhouse, Lever, iCIMS, or similar) and Google Workspace
- Strong written and verbal communication; you will be a point of contact for both internal stakeholders and candidates
- Demonstrated comfort with both coordination work and operational or project-based responsibilities
- Ability to work on-site in our San Francisco office 5 days per week
- High attention to detail, consistent follow-through, and comfort with ambiguity
Nice to have
- Experience at a tech company or high-growth startup
- Familiarity with project-management tools such as Linear, Jira, or Asana
- Prior informal team-lead experience, such as serving as a senior resource or escalation point for a coordination team
- Prior experience as a recruiting coordinator for executive recruiting, supporting senior or C-suite-level hiring
- Direct candidate-facing experience, such as on-site hosting, candidate escorting, or serving as a primary candidate point of contact

Pay
Compensation range: $130,850 – $164,650. Pay is based on factors such as scope and responsibilities of the position, candidate’s work experience and skillset, and location.
Schedule
On-site in San Francisco 5 days per week.
