About the role

The Recruiting Operations Coordinator will serve as a key operations partner to the Director of Operations, focusing on all recruiting activities. The role involves translating hiring priorities into working pipelines and managing the day-to-day administrative tasks.

Responsibilities

  • Translate hiring priorities into Ashby - set up roles, pipeline stages, interview plans, and templates to match each search.
  • Maintain the instance day to day, ensuring candidate stages are accurate and data is clean.
  • Build and maintain workflows and automations to ensure the process runs smoothly with minimal manual intervention.
  • Manage access for interviewers and hiring managers, keeping the setup clean as people come and go.
  • Produce simple, reliable reporting for founders to monitor pipeline status at any moment.
  • Be the go-to person for Ashby questions and write internal documents to make the workflow clear to the team.
  • Manage external recruiters.

Requirements

  • Hands-on experience administering Ashby.
  • Ability to translate hiring priorities into working pipeline structures independently.
  • Strong organizational skills and data hygiene.
  • Comfortable building workflows and automations.
  • Clear written communication for documentation and status updates.
  • Reliable contract availability and good responsiveness in a remote, asynchronous setup.

Nice to Have

  • Recruiting coordination or recruiting-ops experience at an early-stage or fast-moving company.
  • Familiarity with technical hiring pipelines.
  • Experience connecting Ashby to scheduling, sourcing, or other tools.
