About the role
Klaviyo is looking for an organized and customer-centric individual to join our team as a Recruiting Operations Coordinator on a 6-month contract basis, with potential to extend. This role will play a key part in supporting our global recruiting operations team, owning the end-to-end candidate coordination lifecycle, and utilizing our recruiting tools to provide an exceptional experience. You will report to the Manager, Recruiting Operations and help our RecOcs team scale globally.
In this role, you’ll partner closely with recruiters, interviewers, hiring managers, recruiting leadership, and cross-functional stakeholders to raise the bar on how we hire. You’ll own coordination details, sharpen processes, and build systems that enable efficient hiring at scale.
Responsibilities
- Own scheduling and coordinating both virtual and onsite interviews using Guide and Greenhouse, from initial availability requests through candidate confirmation.
- Ensure an exceptional candidate experience through prompt follow-up, high-quality coordination of all aspects of the interview cycle, and clear, personalized communication.
- Coordinate onsite interview logistics, candidate travel, and reimbursements across Klaviyo’s global locations.
- Manage internal interview processes promptly, accurately, and with confidentiality.
- Act as a strategic partner on recruiting ops challenges—spotting scalable solutions through data, tools, process improvements, and cross-functional collaboration.
- Help drive high-leverage TA programs and enablement, including automated workflows, interviewer training, and candidate NPS initiatives.
Requirements
- Experienced in recruiting coordination, operations, or related roles in fast-paced, high-growth environments.
- Strong stakeholder management and communication skills with a customer-first mentality—you build rapport and earn trust quickly.
- A track record of improving workflows, operational processes, or systems at scale.
- Fluent with tools like Guide, Greenhouse, Slack, Navan, and Google Workspace.
- Highly organized, with sharp prioritization instincts and the ability to move fast.
- Detail-oriented, proactive, and solutions-first when tackling operational challenges.
- A collaborative mindset and genuine drive to improve processes, documentation, and team operations.
- A “no task too big or too small” attitude, with professionalism and discretion to support candidates at any level.
Schedule
This is a contract position based in our Boston office. The role may require up to 10% travel for purposes such as new hire onboarding, team meetings, and industry events. Travel is coordinated in advance.
Pay
The base salary range for this position across U.S. locations is $35–$45 USD per hour. The base salary offered is determined by factors including job-related skills, relevant experience, education or training, and work location. In addition to base salary, total compensation may include participation in the company’s annual cash bonus plan, variable compensation (for sales and customer success roles), equity, sign-on payments, and a comprehensive range of health, welfare, and wellbeing benefits based on eligibility.
