Duties and Responsibilities

  • Conduct routine inventories of physical and electronic records to verify accuracy, completeness, and compliance with approved records schedules.
  • Identify gaps, outdated materials, or unscheduled records, and report findings to the RMFO.
  • Afford assistance in evaluating records to determine proper handling and disposition in accordance with federal requirements.
  • Prepare records for disposition in compliance with NARA and DOE regulations.
  • Assist in organizing electronic files, creating and maintaining transfer documentation, and coordinating the shipment or transfer of records in accordance with established procedures.
  • Provide daily guidance, basic training, and hands-on support to program personnel on proper records creation, maintenance, filing, storage, and disposition.
  • Ensure staff adherence to DOE policies, NARA requirements, and approved records schedules.
  • Afford assistance in the development and maintenance of official file plans for program offices.
  • Support the implementation of federal records management policies, program directives, and DOE guidance.
  • Maintain compliance with federal records management principles, including NARA regulations and records lifecycle management.
  • Serve as a liaison between program staff, supporting contractors, and federal oversight officials to facilitate effective records management.
  • Communicate compliance concerns, progress updates, and operational status to federal leadership under the direction of the RMFO.
  • Support the use of DOE systems such as Electronic Document Management Systems (EDMS) and Zeus for records storage, retrieval, and management.

Required Qualifications

  • Bachelor’s degree in information management, business administration, public administration, or a related field; or equivalent combination of education and experience.
  • Minimum of 2–5 years of experience in records management, information governance, or a related administrative or compliance-focused role.
  • Working knowledge of federal records management principles, including NARA regulations and records lifecycle management.
  • Experience managing both physical and electronic records systems.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to communicate effectively and provide training or guidance to staff.
  • Proficiency with Microsoft Office applications and electronic records systems.

Desired Qualifications

  • Experience supporting DOE or other federal agencies.
  • Familiarity with DOE records management systems such as EDMS or Zeus.
  • Knowledge of records scheduling, disposition processes, and federal compliance audits.
  • Certified Records Manager (CRM) or similar professional certification.
  • Experience working in a laboratory, research, or highly regulated environment.

Other Requirements

  • U.S. Citizenship is required.
  • Ability to obtain and maintain a security clearance (if applicable).
