About the role

The Receptionist is responsible for answering and transferring incoming phone calls, as well as serving as the first point of contact for visitors to the Summerlin West Association Management Office.

Responsibilities

  • Serve as the first point of contact for the Summerlin West Association Management Office, welcoming visitors, directing guests, and creating a professional front-office experience.
  • Answer, screen, and route incoming phone calls, monitor the reception voicemail, and respond to shared inboxes to ensure timely and accurate communication.
  • Coordinate day-to-day reception and office operations, including maintaining the conference room calendar, updating phone extension lists, and managing office schedules, lists, and spreadsheets.
  • Support administrative workflows by sorting and distributing mail, preparing outgoing and overnight deliveries, filing, copying, and assisting with mailings and other general office tasks.
  • Assist with department-specific processes, including resale document distribution, homeowner paint palette distribution, and administrative support for the Accounting team and other internal partners.
  • Help maintain an organized, well-stocked, and professional office environment by monitoring common-area supplies, replenishing kitchen and break room items, and ensuring copiers, printers, and shipping materials are stocked.
  • Maintain clean, neat, and organized common areas, including the front lobby, conference rooms, kitchens, and break rooms, and provide light office upkeep throughout the day as needed.
  • Partner with other Summerlin departments and support additional projects and assignments as needed in a business professional, onsite office environment.

Requirements

  • Enjoys a high level of public interaction and brings a professional, courteous, and service-oriented approach to working with employees, homeowners, vendors, and visitors.
  • Demonstrates strong phone etiquette, excellent verbal and written communication skills, and close attention to detail.
  • Brings a reliable, resourceful, and proactive mindset, with the ability to manage multiple priorities, solve problems effectively, and work efficiently with minimal direction.
  • Exercises sound judgment, builds positive working relationships across all levels of the organization, and knows when to ask questions to move work forward effectively.
  • Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, with the ability to learn and use internal and external systems.
  • Maintains a polished professional appearance and is comfortable working onsite in a business professional office environment.
  • Experience with homeowners' association or property management matters is preferred.
