About the Role

Responsible for directing the overall office operations, including planning, coordinating, and administering the Medical Records department.

Qualifications

  • High school education or equivalent; some college preferred.
  • Knowledgeable of administrative practices, procedures, and guidelines.
  • Accurate typing, filing, and record-keeping skills.
  • Good communication skills.
  • Ability to read, write, and speak English clearly and understandably.
  • Ability to make independent decisions and remain calm during emergencies.
  • Ability to interact tactfully with residents, family members, visitors, personnel, government agencies, and the public.
  • Leadership and supervisory ability, with a willingness to work harmoniously with others.
  • Patience, tact, a cheerful disposition, and enthusiasm.

Physical Requirements

  • Ability to move intermittently throughout the workday.
  • Ability to cope with mental and emotional stress.
  • Possess sight and hearing senses (or use prosthetics) to function adequately in the role.
  • Ability to function independently, with flexibility, personal integrity, and effectiveness.
  • Good general health and emotional stability.
  • Ability to work with ill, disabled, elderly, emotionally upset, or hostile individuals.
  • May be required to lift and move equipment and supplies exceeding 50 pounds.
  • Pleasant speaking voice.
  • Subject to exposure to infectious waste, diseases, and conditions, including HIV/AIDS and Hepatitis B viruses.

Responsibilities

  • Review the department’s policy and procedure manual, job descriptions, and cleaning schedules at least annually for revisions and make recommendations to the Administrator.
  • Follow established departmental policies and procedures, including dress code.
  • Meet with the receptionist regularly to identify and correct problem areas or improve service.
  • Recruit, interview, and select personnel with Administrator approval (if applicable).
  • Schedule department work hours, personnel, and assignments to expedite workflow (if applicable).
  • Complete performance evaluations in a timely manner (if applicable).
  • Make daily rounds of the reception area to ensure personnel perform required duties and follow procedures (if applicable).
  • Answer the telephone promptly and politely, screen calls, and relay messages as needed.
  • Greet and direct visitors to sign in.
  • Type, file, copy materials, and maintain records, equipment, and supplies as assigned.
  • Prepare reports, assignments, and correspondence as directed by the Administrator.
  • Receive, sort, direct mail, and fax information.
  • Send reports to appropriate agencies as required.
  • Maintain cordial relationships with residents, staff, public agencies, visitors, and callers.
  • Perform other related duties as assigned.
