Receptionist - Santa Clara, CA
Responsibilities
- Serve as the first point of contact for all individuals entering the building and represent the organization with a professional, friendly, and welcoming demeanor.
- Maintain a clean, organized, and professional reception area that reflects the company’s standards.
- Answer, screen, and route incoming calls promptly and accurately to the appropriate contacts or departments.
- Greet and assist guests, clients, and visitors upon arrival, ensuring they feel supported and informed.
- Provide clear directions or personally escort visitors to their meeting locations as needed.
- Ensure all visitors are properly signed in, accounted for, and comply with established check-in procedures.
- Respond to in-person and phone inquiries with a helpful, courteous, and solution-oriented attitude.

- Ensure meeting rooms are prepared, presentable, and equipped with necessary resources before scheduled meetings.
- Use Microsoft 365, Outlook, and Microsoft Teams to manage calendars, communications, and basic administrative tasks.
- Perform general administrative and office support duties as needed to assist the broader team.
- Collaborate effectively with team members and other departments to support daily operations and a positive workplace experience.
- Arrive on time and reliably cover the reception desk during scheduled hours from 8:00 am to 5:00 pm, Monday through Friday.
Essential Skills
- 1–2 years of experience in a receptionist, customer service, administrative support, or related role.
- Strong customer service skills with the ability to interact professionally with guests, clients, and employees.
- Excellent verbal and written communication skills.
- Demonstrated punctuality and reliability in previous roles.
- Ability to work effectively as a team player and collaborate with colleagues.
- Professional demeanor and ability to maintain a polished and appropriate appearance at the front desk.
- Proficiency with Microsoft 365, including Word, Excel, PowerPoint, and related applications.
- Experience using Outlook for email management and calendar scheduling.
- Familiarity with Microsoft Teams for chat, meetings, and collaboration.
- Ability to perform basic computer functions such as file management, printing, and internet browsing.
- At least a high school diploma or GED.
Additional Skills & Qualifications
- Experience in office and soft services environments is beneficial.
- Receptionist/customer service or administrative support is a plus.
- Comfort working in a fast-paced environment with frequent interactions and changing priorities.
- Strong organizational skills and attention to detail when managing visitors and meeting room schedules.
- Ability to handle confidential or sensitive information with discretion.
- Comfort participating in a phone or virtual interview as part of the selection process.
Work Environment
This is an onsite role based in Santa Clara, with standard hours of 8:00 am to 5:00 pm, Monday through Friday. You will work at the front desk within an office and soft services environment, collaborating closely with a supportive team. The position is initially a 3-month assignment with the possibility of extension, providing consistent daytime hours in a professional corporate setting. Daily work involves using Microsoft 365, Outlook, Microsoft Teams, and standard office equipment such as computers, phones, and printers. The reception area is a high-visibility space where maintaining a professional presence and attire is important, as you will regularly interact with visitors, clients, and internal staff.

Pay And Benefits
The pay range for this position is $17.00 - $17.00/hr.
