About the Role
This position serves as the primary point of contact for visitors, residents, and callers, providing exemplary customer service while performing administrative and business office support functions in accordance with established procedures.
Schedule
SAT/SUN 8AM-4PM, WED/THURS 4PM-8PM
Responsibilities
- Greet visitors, residents, and vendors in a courteous and professional manner; identify visitors and direct them to the appropriate location.
- Process and record visitor information as defined by the facility.
- Answer incoming telephone calls, determine the nature of the call, and direct the caller to the appropriate individual or department.
- Operate paging and telephone systems as required.
- Respond to requests from within the community; identify and locate appropriate personnel.
- Maintain an accurate master file/list of staff, emergency phone numbers, key personnel, etc.
- Maintain and update the resident roster while adhering to HIPAA privacy laws and regulations.
- Assist with processing and organizing admissions paperwork.
- Exercise discretion in releasing information to maintain confidentiality and privacy; ensure information is stored securely.
- Identify security concerns and notify the supervisor or proper authorities.
- Effectively communicate facility policies and procedures to visitors, staff, and vendors.
- Perform word processing, copying, filing, sorting mail, and ordering repairs through Maintenance Connection.
- Complete deposit slips and account for cash received.
- Provide support for other business functions, including marketing, information, and tours.
- Maintain a clean and professional work environment.
- Document and resolve concerns from residents and/or family members or relay them to the appropriate staff.
- Respond to resident and family member inquiries, resolving issues or directing them to the Business Office Manager or Executive Director.
- Conduct small monetary transactions for stamps, meals, fax, copies, etc.
- Work with the Director of Resident Care Service to ensure new residents are oriented to the facility.
- Perform other essential duties as assigned.
Requirements
- Ability to make independent decisions and follow instructions.
- Tactful interaction with personnel, prospects, residents, family members, visitors, government agencies, and the public.
- Capability to work with ill, disabled, elderly, and emotionally upset individuals within the facility.
- Effective communication skills for supervisors, team members, prospects, residents, and families.
- Proficiency in Microsoft Office Suite.
- Demonstrated effective oral and written communication skills.
- Leadership ability and willingness to work harmoniously with and supervise other personnel and departments.
- Knowledge of state rules, regulations, and laws applicable to residential care facilities.
- Pass criminal clearance and other required screenings prior to employment.
- Obtain required health screening and TB clearance.
- Provide documentation proving at least 18 years of age.
- Hold First Aid training certification.
Qualifications
- Must meet all applicable state and federal requirements for this position.
- A high school diploma or GED.
- Preferred: One year of experience in a clerical position or completion of a secretarial science program from an accredited school/college.
- Experience with MS Word/Excel, email, and other computer skills.
Supervisory Responsibility
This position does not have any direct reports or supervisory requirements.
Working Conditions and Physical Demands
- Tasks may involve potential and/or direct exposure to blood, body fluids, infectious diseases, air contaminants, and hazardous chemicals.
- Prolonged periods of sitting at a desk and working on a computer and telephone.
- Ability to lift 15 pounds at times.
- Alternating between standing and sitting.
Cognitive Requirements
- Executes tasks independently.
- Ability to express yourself clearly and effectively.
- General computer literacy.
Environmental Requirements
Exposure to ambient room temperatures, lighting, and traditional office equipment as found in a typical office environment.
