Key Responsibilities
- Greet clients and visitors with a friendly, professional, and helpful attitude
- Direct visitors to appropriate areas and notify employees of arrivals
- Maintain workplace security by managing visitor logs and issuing/collecting visitor badges
- Answer, screen, and route incoming calls in a courteous and professional manner
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain a clean, organized, and well-stocked front desk, lobby, and executive office areas
- Prepare conference rooms for meetings (including setting up Zoom/virtual calls) and reset rooms afterward
- Order and coordinate office lunches, groceries, and supplies; manage deliveries and kitchen organization
- Restock kitchen and lobby areas (coffee, water, snacks, utensils) throughout the day
- Support administrative tasks including copying, scanning, faxing, and scheduling appointments
- Collaborate with Executive Assistants on high-priority meetings and events
- Provide general administrative and ad hoc support as needed
Qualifications
- Associate’s or Bachelor’s degree in a related field preferred
- One year of previous experience in a receptionist, front desk, or administrative support role
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong understanding of general administrative and clerical procedures
- Professional demeanor and appearance
- Excellent verbal and written communication skills
- Strong organizational and time management abilities
- Customer-service oriented with a positive, team-focused mindset
- Ability to multitask and adapt in a fast-paced environment
Hours
8am to 5pm, Monday to Friday
Location
Clearwater, FL 33759 (onsite only)
