Responsibilities

  • Assist clients in finding their way around the office by giving directions
  • Announce clients by calling/beeping the provider to notify them of client arrival
  • Maintain a professional office environment and promote a positive agency image
  • Help maintain workplace security by issuing, checking, and collecting signatures and maintaining visitor logs
  • Assist with administrative tasks including copying, faxing, and taking notes
  • Prepare meeting and training rooms by ensuring they are organized and ready to use
  • Answer phones professionally, handle incoming calls, voicemails, and route calls as necessary
  • Sort and distribute mail daily, including FedEx or UPS drop-off/pick-up
  • Schedule appointments with providers and call to remind patients of appointments
  • Maintain office equipment and supplies
  • Create, maintain, and enter information into EHR, including opening, closing, and processing referrals and laterals
  • Print records per requests and maintain efficient and timely documentation in the EHR
  • Scan and upload documents daily to EHR
  • Collect copays and payments from clients, complete Cash Sheet, and print receipts
  • Submit credit card payments into software and email receipts to Accounts Payable
  • Report clients delinquent in payment and inform them of payment expectations
  • Review daily schedule for past balances or updates needed (e.g., Gosh Enrollments, jail)
  • Serve as the point of entry for client enrollment in the program
  • Perform quarterly chart audits
  • Comply with confidentiality and protected health information rules per company policy
  • Travel to other Recovery and Wellness locations for coverage if needed
  • Perform other duties as assigned

Requirements

  • High school diploma or GED
  • 1-2 years prior experience maintaining a filing system
  • 1-2 years’ experience performing general office duties
  • 1-2 years’ experience using Microsoft Office Operation Systems and Applications
  • Customer service experience is helpful
