About the role
The ideal candidate will serve as the first point of contact for TORS GROUP, ensuring a welcoming and efficient experience for all visitors, clients, and staff. This role requires strong communication skills, local business etiquette awareness, and the ability to manage front-office operations with professionalism and discretion.
Responsibilities
- Greet and assist all visitors, clients, and guests in a friendly and professional manner; manage sign-in procedures and coordinate meeting arrangements.
- Answer, screen, and direct incoming calls; take accurate messages and transfer calls to relevant staff members.
- Manage meeting room bookings, coordinate refreshments, and ensure reception and meeting areas are clean, organized, and presentable at all times.
- Receive, sort, and distribute incoming mail, couriers, and packages; process outgoing courier and postal items.
- Support general administrative tasks including data entry, filing, document scanning, and preparation of basic office reports.
- Assist with office management duties such as monitoring office supplies, coordinating maintenance requests, and supporting ad-hoc administrative tasks for the team.
- Maintain confidentiality of company information and handle sensitive inquiries with professionalism.
- Liaise with internal teams, vendors, and external stakeholders to ensure smooth front-desk operations.
Requirements
- High school diploma or equivalent (minimum); tertiary qualification in Office Administration or related field is an advantage.
- Valid legal authorization to work in South Africa (citizenship, permanent residency, or valid work permit).
- Minimum 1–2 years of experience in reception, front-office, or customer service role, preferably in a corporate or engineering/construction company environment.
- Fluent in written and spoken English (mandatory). Proficiency in Afrikaans is highly advantageous. Additional local languages (Zulu, Xhosa, etc.) are a strong plus.
- Proficient in MS Office (Word, Excel, Outlook).
- Familiarity with telephone systems and basic office equipment (printers, scanners, copiers).
- Presentable and professional image suitable for a corporate front-desk role.
- Ability to work independently and respond calmly under pressure.
- Team-oriented with a proactive and helpful mindset.
