About the role

The Receptionist/Mail Distribution Technician is a member of the human resources team, providing front-end assistance to staff and community members in the district central administration building. They are a key source of information, directing referrals to appropriate teams, operating a multi-line telephone system, and directing calls and posted mail. This position serves as the first point of contact for district guests, ensuring high-quality customer service and adherence to security protocols. This position contributes to the district's culture of belonging through accurate, supportive, and safe referrals to appropriate teams, spaces, and staff contacts.

Responsibilities

  • Performs basic clerical functions such as data entry, copying, maintenance of copiers and printers, mail distribution, filing, and inventorying of supplies.
  • Serves as the primary point of contact for room reservations and calendaring, records facility maintenance and guest service requests for room configurations, and communicates service needs to lead custodian.
  • Customer Service
    • Greets and directs visitors within the central office administration building or to school sites.
    • Provides front-line information and direction to district resources (print or digital referrals).
    • Supports district-wide correspondence, simple reports, and the distribution of communications.
    • Provides information to school staff on proper mailing procedures.
    • Assists with processing volunteer applications, employee packets, background check appointments, and other non-sensitive human resources functions.
  • Digital Literacy
    • Manages district mainline voicemail, recording/forwarding messages with timeliness and accuracy.
    • Effectively operates a multi-line telephone system to transfer/direct callers to the appropriate contact.
    • Maintains district calendaring, coordinates and reserves meeting rooms, and communicates meeting room requirements to lead custodian as needed.
  • Clerical Support
    • Performs basic data entry and assists with filing and records maintenance.
    • Ensures that mail pickup and delivery timelines are met.
    • Receives, sorts, and posts mail and packages to appropriate departments/schools, including maintenance of the mail tracking/inventory process.

Requirements

  • High school diploma or equivalent.
  • Two years of clerical experience.
