About the role
First point of contact for all those entering the workplace. You will greet visitors with a friendly and welcoming demeanor, issue visitor passes, follow security protocols, and escort visitors to the proper location. You will also answer the telephone in a professional manner, delivering an elevated hospitality experience.
Responsibilities
- Greet visitors and issue visitor passes while following security protocols
- Escort visitors to the proper location within the building
- Answer telephones in a professional manner
- Provide recommendations and solutions across the organization
- Support project work, including developing presentations and speaking to groups
- Maintain knowledge of the building, workplace, and neighboring areas
- Identify and contact key teams (FM, AV, Catering) for requests and escalations
- Arrange and confirm recreational, dining, and business activities
- Manage janitorial or maintenance work orders
- Address issues with vendors or staff and escalate inquiries or complaints
- Provide customer service-driven solutions
- Support office supply management, meeting coordination, and equipment care
- Create customized client materials following brand guidelines
- Anticipate guest/client needs and offer proactive support
- Take ownership of tasks and follow up to ensure completion
- Demonstrate emotional intelligence in interactions
- Communicate daily with executive assistants, key bookers, and C-suite executives
- Organize and manage on-site events, including securing space and handling setup/teardown
- Follow security and emergency procedures to ensure building safety
- Solve typical and atypical problems in your work area without supervision
- Manage meeting reservations, catering, AV, and similar service requests
- Ensure accuracy in the meeting room booking system and update as needed
- Monitor workplace experience mailboxes and respond to emails within 24 hours
- Provide catering menus and address dietary/allergen requests with attention to detail
- Research clients/visitors and communicate VIP arrivals to the team
Requirements
- High School Diploma or GED with 0-2 years of job-related experience
- Understanding of work routines, standards, and applying skills across processes and systems
- Intermediate problem-solving skills with the ability to select solutions without supervision
- Ability to explain detailed and complex information clearly and concisely
- Advanced knowledge of Microsoft Office products (Word, Excel, Outlook, etc.)
- Strong organizational skills and a robust inquisitive mindset
Schedule
Monday through Friday, 7:30 AM to 4:30 PM.
