Responsibilities

  • Greet residents, families, visitors, vendors, and staff in a friendly and professional manner.
  • Answer and direct incoming calls using a multi-line phone system while providing excellent customer service.
  • Take and distribute accurate messages promptly.
  • Provide clerical and administrative support, including typing, copying, faxing, filing, scanning, and laminating documents.
  • Process incoming and outgoing mail and deliveries.
  • Maintain organized office files and records.
  • Monitor and replenish office supply inventory.
  • Schedule and coordinate resident hair salon appointments and distribute weekly schedules.
  • Prepare and distribute correspondence regarding resident care planning meetings.
  • Update resident door signage as needed.
  • Coordinate telephone system maintenance and voicemail setup.
  • Maintain the facility meeting room calendar and assist with scheduling.
  • Perform additional administrative duties as assigned.

Requirements

  • Minimum of one (1) year of receptionist, clerical, administrative, or customer service experience in a professional office environment.
  • Previous healthcare, long-term care, or skilled nursing experience preferred, but not required.
  • Proficiency with Microsoft Word, Excel, Outlook, and other standard office applications.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and customer service abilities.
  • Ability to maintain confidentiality and professionalism in a fast-paced healthcare environment.
