Responsibilities

  • Answer the phone in a professional manner consistent with CSG global standards.
  • Check-in with security for any overnight facility issues.
  • Review calendar events for expected external guests and related employee conference room bookings.
  • Greet, ID, and sign in guests; alert hosts and keep guests updated on host arrival times.
  • Ensure timely collection of guests and direct them to coat/luggage storage and restrooms.
  • Offer beverages and welcome Executive Briefing Center (EBC) guests, providing agendas and directions.
  • Monitor EBC activity to prevent unauthorized entry during briefings and place appropriate signage.
  • Issue and collect visitor/day badges, maintaining a visitor badge log.
  • Maintain the reception desk, waiting area, and lobby to high standards of tidiness and cleanliness.
  • Train new reception team members and assist security with operational knowledge, VIP visitors, and access requests.
  • Alert the Facilities team about VIP employee arrivals and notify security of vendor arrivals.
  • Greet new hires and employees, providing information about office services, spaces, and amenities.
  • Assist the Telecom team with reception phone issues/upgrades and perform monthly manual checks of phone queues.
  • Maintain PPE in reception and ensure continuity of coverage when leaving the post.
  • Monitor email alerts for U.S. government half-staff proclamations and notify facilities.
  • Support site administration projects, including document creation, printing, filing, and sorting.
  • Maintain and update the Reception Standard Operating Procedure Manual with best practices.
  • Proactively assist in implementing process improvement recommendations.
  • Perform other tasks as assigned by management and provide backup support to the ELT Admin Team, including escorting guests to the executive floor.

Requirements

  • Exceptional customer service skills with a professional demeanor, appearance, and attitude.
  • Superior verbal communication and phone skills.
  • Customer service, reception, or front desk experience preferred.
  • 1-3 years of experience with Microsoft Office Software (Teams, Word, Excel, Outlook).
  • Ability to be flexible and adapt to changes in the work environment.
  • Strong work ethic; diplomatic, team-oriented, and service-focused with the ability to build strong working relationships.
  • Ability to multitask and handle multiple projects simultaneously.
  • Proven ability to remain calm under pressure and resilient.
  • Sound judgment and problem-solving ability.
