This is an in-office position in our Cedar City office.
Responsibilities
- Provide general receptionist duties and customer service support to customers, vendors, and employees.
- Answer telephones, greet visitors, and provide computer administrative support, including business correspondences (emails, letters, and memos).
- Distribute mail, prepare Federal Express packages, and assist with special projects as required.
- Maintain the lobby in a presentable manner with a fully stocked drink station, clean conference rooms, and properly stocked snacks, pens, and supplies for customer areas.
- Process and be responsible for pre-closing matters on each file, including:
- Order entry.
- Ensure tax certificates and mortgage inspection certificates/surveys are in file.
- Order payoffs and verify authorization documents are in file.
- Verify legal description with commitments and mortgage inspection certificates/surveys.
- Receipt funds for closing, disburse funds, record documents, prepare title policies, and put files in audit order.
- Scan, sort, organize, and image all escrow files in a timely manner; coordinate files for scanning.
- Greet customers courteously and offer refreshments as needed; notify closers/assistants when customers arrive for closing.
- Answer phones promptly and courteously; direct calls to the appropriate person, offering the option to hold or leave a voicemail if the requested person is unavailable.
- Sign for courier deliveries and notify closers/assistants promptly.
- Distribute the closing schedule calendar when applicable.
- Verify tax certificates are complete and accurate; ensure the legal description matches the commitment and mortgage inspection certificate or survey.
- Obtain payoffs and invoices for the settlement statement.
- Assist the closer in preparing the settlement statement.
- Request lender permission for authorization to fund; receipt in monies; balance file; disburse funds; and send out payoffs.
- File all documents to be recorded in appropriate counties and/or states; place files in audit order and prepare for scanning and post-closing.
- Keep the reception area and conference rooms clean and stocked with supplies for closings.
- Regular, consistent attendance is required, which may include attendance at after-hours company events.
- Work overtime as requested and approved by a supervisor.
- Serve as a personable, positive, and professional representative of the company.

Schedule
8:00 AM – 5:00 PM, Monday through Friday.
