Responsibilities
- Open and close the office, ensuring security measures.
- Maintain cleanliness of the waiting area, including the kitchen.
- Answer phones, explain agency services, take referrals, and connect calls.
- Update the In/Out Board as requested by staff and supervisors.
- Direct referrals to appropriate Intake Coordinators for timely access to care.
- Check insurance eligibility and notify supervisors/staff of non-eligible or changed insurance.
- Verify, sort, and distribute fax and mail by department; send outgoing mail as requested.
- Provide transportation to alternate locations for training or administrative needs.
- Order office supplies as needed.
- Request maintenance for office equipment or building repairs.
- Update and oversee the Phone/Email Directory for CBYCS Staff.
- Schedule conference and training rooms for all programs as requested.
- Perform additional assignments as issued by CBYCS management staff.
- Track Office Inventory for office, cleaning, and IT supplies.
- Update the ERT (Emergency Response Team) board daily.
- Review and update the MSDS binder monthly.
- Update the Emergency Employee Binder for new hires and departing employees.
- Perform Monthly Safety Inspection.
Requirements
- Excellent computer skills, including database management, Excel, Microsoft, PowerPoint, etc.
- Ability to multitask and prioritize tasks effectively.
- Strong analytical, problem-solving, and decision-making skills.
- Strong organizational and time management skills, with an emphasis on documentation.
- Sound judgment and professionalism in representing the agency, both in person and on the phone.
- Strong customer service skills, particularly when interacting with families and collaterals.
- Active listening skills and ability to work well under pressure.
- Ability to build positive, professional relationships with co-workers.
- Adherence to agency policy and procedure, including reporting and chain of command.
- Ability to work independently or in a team setting as a self-starter.
