About the role

Beloit Health System is seeking a Receptionist to join their team. This position is available full-time with benefits eligibility.

Responsibilities

  • Answers incoming telephone calls, checks in patients, schedules appointments, takes telephone messages, and directs patients to various areas.
  • Accurately records pertinent information when scheduling appointments and taking phone messages.
  • Completes and accurately implements the check-in process, including guarantor selection, updating demographic information, insurance entry and verification, copayments, and scanning of insurance cards.
  • Directs patients to the correct waiting area and verifies that the NPP signature is on file, if not, has the patient sign a form and update the system.
  • Schedules any necessary follow-up appointments and follows physician guidelines.
  • Verifies patient signatures on file and updates the system accordingly.
  • Collects patient payments accurately (cash, check, debit, and credit card payments), enters payments into the computer system, and prints receipts.
  • Refers patient's questions regarding insurance, billing, patient accounts, payments, and record transfer to the proper departments.
  • Attends to physician needs in relation to work-ins, canceling, rescheduling, or confirming appointments as directed by nursing staff or physician.
  • Acts as a liaison for the physicians of Beloit Health System by serving the public in a competent, positive, professional, and efficient manner.
  • Executes changes when indicated on patient data within the computer system, such as address, phone number, etc.
  • Prepares the desk for the next day by completing designated closing tasks, including updating physician directives, maintenance (56 screen), clearing work area of confidential patient information, updating the computerized schedule, putting routing tickets in order, supplying the work area with needed equipment, etc.
  • Directs dissatisfied customers to the Clinic Manager Patient Relations/Reception as necessary.
  • Troubleshoots and/or problem-solves issues without causing interruptions for the physician and promotes a positive work environment.
  • Demonstrates ability to perform functions accurately and efficiently with computer software applications appropriate to the position.
  • Interacts in a positive, responsible, and cooperative manner with patients, physicians, co-workers, and managers.
  • Presents a positive image for Beloit Health System by dressing appropriately for the position and wearing a photo I.D. badge for proper identification by others.
  • Maintains a safe work environment for self and others. Attends mandatory safety training sessions and adheres to Beloit Health System and OSHA safety requirements.
  • Maintains acceptable levels of initiative and productivity. Abides by attendance policies for absences and tardiness.

Qualifications

  • A high school diploma or equivalent is required.
  • Medical terminology and/or medical clinic reception experience is preferred.
  • Excellent organizational, verbal communication, and interpersonal relationship skills are required to interact with patients, the public, and staff.
  • Successful completion of a post-offer, pre-placement physical exam is required.
  • The ability to walk, stand, lift, stoop, crouch, reach, push, pull, grasp, and perform repetitive motions is necessary.
  • The ability to sit for extended periods of time is required.
  • The ability to handle a variety of people is necessary.
  • The ability to read, write, add, subtract, alphabetize, and use computer literacy is required.
  • The ability to demonstrate accuracy, attention to detail, flexibility, and multitasking is necessary.
  • The ability to maintain control and professionalism in a fast-paced, interruptive environment is necessary.
  • The ability to work in a flexible manner is necessary.
