Bismarck Public Schools is seeking a Receptionist for the Central Administration Building.
Purpose
The Receptionist greets and directs visitors, responds to inquiries from staff, the public, parents, and students by providing requested information and/or referrals, and provides general clerical support when time permits.
Responsibilities
- Telephone Management: Answer, screen, transfer calls, respond to inquiries, and take messages.
- Item Distribution: Distribute mail, packages, messages, and application packets to ensure receipt by the addressee.
- Visitor Greeting: Greet individuals entering the building and direct them to appropriate locations following security procedures.
- Reception Area Maintenance: Maintain resource materials such as student enrollment, transfers, and home education information.
- Information Maintenance: Update and maintain building information, including use schedules, staff directories, and emergency contacts.
- Human Resource Support: Perform clerical functions such as I9 verifications, volunteer paperwork, staff photos, scanning, and fingerprinting.
- Program Support: Provide clerical support for Students In Transition (SIT) and Student Support Services transportation programs.
- Clerical Functions: Perform general office tasks including scheduling, copying, faxing, data entry, and filing.
- Material Reception: Receive and distribute mail, deliveries, packages, and supplies to appropriate parties.
- Adherence to Policies: Follow all school policies and procedures.
- Attendance: Maintain prompt and consistent attendance.
- Other Duties: Undertake additional tasks as assigned to support the work unit.
Requirements
- Preparing and maintaining accurate records.
- Operating standard office equipment and utilizing pertinent software applications.
- Basic math skills, including calculations using fractions, percents, and ratios.
- Reading manuals, writing documents, and presenting information to others.
- Understanding complex, multi-step written and oral instructions.
- Business telephone etiquette.
- Scheduling activities, meetings, or events.
- Gathering, collating, and classifying data.
- Working with others in diverse circumstances and adapting to changing priorities.
- Working with frequent interruptions and maintaining confidentiality.
- Communicating with diverse groups and displaying tact and courtesy.
Qualifications
- High school diploma or equivalent.
- Job-related experience with increasing levels of responsibility.
- Criminal Justice Fingerprint/Background Clearance.
Work Environment
The role requires some lifting, carrying, pushing, pulling, stooping, kneeling, crouching, and crawling, as well as significant fine finger dexterity. The job is performed in a generally clean and healthy environment, with approximately 80% sitting, 10% walking, and 10% standing.
