Job Summary

The receptionist at Clever Care Health Plan serves as the first point of contact, ensuring a professional and welcoming experience for visitors, members, and staff. Key responsibilities include managing front desk operations, answering calls, coordinating appointments, and handling mail.

Functions & Job Responsibilities

  • Answering questions and providing relevant information to visitors, customers, and employees
  • Greets clients and visitors; determine the purpose of each person’s visit and directs the visitor to the appropriate personnel while maintaining the visitors log
  • Receives mail, documents, packages, and courier deliveries and distributes items
  • Aid with basic administrative tasks, such as filing, copying, scanning, and data entry
  • Maintain a clear communication line between departments and external contacts
  • Keep the reception area neat and organized to reflect a professional environment
  • Schedule appointments, meetings, and conference rooms for staff, which may include ordering refreshments and/or lunch
  • Support event coordination by helping set up corporate functions
  • Handle sensitive information with discretion and in compliance with HIPAA and company policies
  • Assist with incoming calls from the company’s main telephone system
  • Ability to take and relay messages
  • General administrative and clerical support from the different departments of the organization
  • Handle sensitive information with discretion and in compliance with HIPAA and company policies

Qualifications

  • High school diploma or GED required
  • One (1) year working as a receptionist or front-office staff
  • Experience with administrative and clerical procedures
  • Healthcare insurance experience, a plus

Skills

  • Bilingual in English and Mandarin
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Proficient in Microsoft applications including Word, Excel, and Outlook
  • Good time management skills
  • Strong attention to detail to ensure accurate data entry
  • Able to contribute positively as part of a team, helping out with various tasks as required
  • Able to type 40 wpm

Physical & Working Environment

  • Must be able to travel when needed or required
  • Ability to operate a keyboard, mouse, phone and perform repetitive motion (keyboard); writing (note-taking)
  • Ability to sit for long periods; stand, sit, reach, bend, lift up to thirty (30) lbs
  • Ability to express or exchange ideas to impart information to the public and to convey detailed instructions to staff accurately and quickly
