Job Summary
The receptionist at Clever Care Health Plan serves as the first point of contact, ensuring a professional and welcoming experience for visitors, members, and staff. Key responsibilities include managing front desk operations, answering calls, coordinating appointments, and handling mail.
Functions & Job Responsibilities
- Answering questions and providing relevant information to visitors, customers, and employees
- Greets clients and visitors; determine the purpose of each person’s visit and directs the visitor to the appropriate personnel while maintaining the visitors log
- Receives mail, documents, packages, and courier deliveries and distributes items
- Aid with basic administrative tasks, such as filing, copying, scanning, and data entry
- Maintain a clear communication line between departments and external contacts
- Keep the reception area neat and organized to reflect a professional environment
- Schedule appointments, meetings, and conference rooms for staff, which may include ordering refreshments and/or lunch
- Support event coordination by helping set up corporate functions
- Handle sensitive information with discretion and in compliance with HIPAA and company policies
- Assist with incoming calls from the company’s main telephone system
- Ability to take and relay messages
- General administrative and clerical support from the different departments of the organization
- Handle sensitive information with discretion and in compliance with HIPAA and company policies

Qualifications
- High school diploma or GED required
- One (1) year working as a receptionist or front-office staff
- Experience with administrative and clerical procedures
- Healthcare insurance experience, a plus
Skills
- Bilingual in English and Mandarin
- Excellent written and verbal communication skills
- Excellent customer service skills
- Proficient in Microsoft applications including Word, Excel, and Outlook
- Good time management skills
- Strong attention to detail to ensure accurate data entry
- Able to contribute positively as part of a team, helping out with various tasks as required
- Able to type 40 wpm
Physical & Working Environment
- Must be able to travel when needed or required
- Ability to operate a keyboard, mouse, phone and perform repetitive motion (keyboard); writing (note-taking)
- Ability to sit for long periods; stand, sit, reach, bend, lift up to thirty (30) lbs
- Ability to express or exchange ideas to impart information to the public and to convey detailed instructions to staff accurately and quickly
