About the role

The Austin office of Naman Howell has an immediate opening for a full-time Receptionist. The receptionist is the first point of contact for all visitors and callers and is responsible for all facility-related operations. This individual also provides administrative support to the attorneys, paralegals, and legal assistants as a file clerk.

Responsibilities

  • Welcome visitors by greeting them upon arrival;
  • Answers external phone calls and routes callers appropriately;
  • Adds to the reception area, kitchens, and conference rooms, ensuring they are tidy, presentable, and stocked with all necessary supplies;
  • Refills copiers with paper multiple times per day;
  • Orders and organizes office and kitchen supplies;
  • Coordinates office maintenance repairs, such as A/C, heat, lights, etc.;
  • Coordinates paper shredding, picking up and returning of files;
  • Orders catering for business functions;
  • Manages conference room reservations;
  • Distributes incoming and drops off outgoing mail;
  • Processes urgent check requests; forwards client payments to accounting;
  • Serves as additional administrative support person for IT and Facility Services;
  • Checks in and out electronic equipment to office personnel;
  • Updates office directory and other personnel lists;
  • Manages parking assignments and building access cards;
  • Runs errands for the office as needed;
  • Filings legal documents into paper files; scans and saves documents electronically; makes copies of documents;
  • Opens new cases in document management system and creates hard files;
  • Creates contact sheets for new files;
  • Types dictations and letters for attorneys;
  • Boxes and closes files upon completion;
  • Maintains confidentiality for all cases;
  • Other duties as assigned.

Position Requirements

  • Excellent communication skills, particularly phone etiquette;
  • Proficiency with Microsoft Office Suite;
  • Typing and transcribing;
  • Multi-tasking;
  • Bilingual in English/Spanish preferred but not required.

Work Environment & Physical Requirements

Receptionists are required to work in the office during standard business hours Monday - Friday. Working from home before or after business hours and/or on weekends may be required occasionally to successfully complete one’s work. Staff members are exposed to typical office working conditions. Staff members should be able to stand, sit at an office space, speak and understand the English language, lift computer equipment, supplies and materials, and use office equipment and computers.

Pay

This is a full-time position. Standard hours are 8:00 AM to 5:00 PM, Monday through Friday. We offer competitive pay rates with outstanding benefits, including exemplary medical, dental and vision insurance, life insurance, long-term disability, and profit sharing/401(k) after one year of service.
