About the role

Yearout Mechanical, a Legence Company, is seeking an experienced Receptionist to support their company. This role is responsible for receptionist and clerical work for office personnel and scanning of all documents.

Responsibilities

  • Greets and screens incoming people at the front receptionist area.
  • Professionally answers and distributes all incoming phone lines within 3 rings.
  • Responsible for scanning, and routing accounting documents including but not limited to invoices, statements, receipts, certificates of insurance, and other miscellaneous items into our system daily.
  • Scanned items then attached digitally utilizing Sage Paperless software.
  • Works closely with Accounts Payable staff.
  • Has a working knowledge of office equipment, calls for repairs and maintenance when needed.
  • Affords assistance with preparation for and onboarding of new employees.
  • Maintains all aspects of the incoming and outgoing mail and postage machine.
  • Captures and maintains an accurate office supply inventory including personal protection equipment.
  • Keeps tracking records for supplies, printer and copier ink, packages and other items as needed.
  • Maintains front office, breakrooms and conference rooms.
  • Affords assistance with various clerical duties and special projects as directed.

Qualifications

  • Experience: 3+ years of experience in a related area, or project environment.
  • Skills: Demonstrated experience and strong understanding of Microsoft office and Microsoft Teams. Experience working in multi-disciplinary teams and client-facing environments. Technical & Professional Skills: Proficient in the use of phone system, copiers, fax machines, postage machine, and other general office equipment. Ability to direct calls, manage call queues, and utilize Teams calling features to handle incoming and outgoing business calls. Strong written and verbal communication skills.
