About the role
The Receptionist supports a successful and rapidly growing business with trusted brands. The overall purpose of the role is to provide administrative support, covering Receptionist duties such as greeting visitors, taking phone calls, handling correspondence, keeping the reception area clean, and ordering catering.
Responsibilities
- Maintaining CEO diary; arranging appointments and taking messages
- Dealing with incoming email and post, often corresponding on behalf of the CEO
- Arranging Chairman & CEO travel, visas and accommodation
- HR Support: Daily management of hourly employee timecards, recruitment efforts, onboarding of new hires, creating Personal Development Plans (PDPs), and managing the Performance Management Process
- Reception and Administrative: Managing all phone calls, enquiries and requests, typing/word processing, filing, implementing and maintaining procedures/administrative systems, providing general assistance during presentations, serving visitors, and maintaining a safe and clean reception area
- Support corporate meeting function set up and preparation, I.E. food and beverage ordering, catering, etc.
- Notifying company personnel of visitor arrival
- Other tasks as assigned by management
Requirements
- Relevant experience and secretarial/administrative knowledge
- Exceptional written and oral communication skills
- Strong knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook)
- Ability to work under pressure and to tight deadlines
- Good organizational and time management skills
- Ability to research, digest, analyze and present material clearly and concisely
- Excellent interpersonal skills
- Ability to work on own initiative
- Attention to detail
- Flexibility and adaptability to juggle a range of different tasks
- Honest, reliable and with high levels of discretion and an understanding of confidentiality issues
Desirable
- This area of work is open to all levels of academic qualifications
- Receptionist experience - strong plus
- Excellent interpersonal and communication skills and the ability to maintain a pleasant and friendly working manner
- Excellent time management skills and a high degree of flexibility
- Ability to work efficiently and effectively with a high degree of attention to detail
- A can do & problem-solving attitude
