Receptionist
Job Summary
The Receptionist serves as the first point of contact for visitors, clients, and staff. This role is responsible for greeting guests, answering and directing phone calls, managing the front desk area, and providing general administrative support to ensure smooth daily operations. This position involves interacting with visitors, managing communications, and handling various clerical tasks with efficiency and professionalism.
Duties/Responsibilities
- Welcome visitors, address inquiries, and manage all reception desk activities while ensuring a positive, welcoming environment.
- Manage incoming communications by answering phones and directing calls to the appropriate staff.
- Effectively handle and distribute incoming mail and deliveries, and perform clerical tasks such as copying, faxing, and filing.
- Provide administrative support such as data entry, filing, and document preparation.
- Support project coordination by tracking deadlines, updating statuses, and collaborating with team members.
- Maintain security by following procedures and controlling access with visitor sign-ins.
- Handle general inquiries and direct them to the appropriate departments.
- Perform other duties as assigned.
Education and Experience
A high school diploma or GED is required, preferably in a related field of study. 1+ year prior experience as a receptionist, front desk representative, or similar role is preferred.
Required Skills/Abilities
- Proficient in Microsoft Office Suite programs including Word, Excel, PowerPoint, etc.
- Strong interpersonal and communication skills with staff, clients, and visitors to ensure a positive experience.
- Strong organizational and multitasking skills, and ability to meet deadlines.
- Professional communication skills through phone, email and mail correspondence.
- Familiarity with office equipment and administrative procedures.
- Ability to manage confidential information and sensitive documents with professionalism and discretion.
Physical Requirements
Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 10 pounds at times.
Pay Range
$18 USD - $22 USD
