About the role
The Receptionist will operate a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel.
Responsibilities
- Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel
- Monitor visitor access and issue passes when required
- Retrieve messages from voicemail and forward to appropriate personnel
- Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department
- Take and deliver messages or transfer calls to voicemail when appropriate personnel are unavailable
- Answer questions about the organization and provide callers with address, directions, and other information
- Receive, sort, and route mail, and maintain and route publications
- Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes
- Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary
- Perform filing, photocopying, and collating
- Other duties as needed
Requirements
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
- Previous multi-line phone experience; 25+ calls per hour
- Bilingual (English / Spanish)
- Voicemail experience
- Valid driver’s license may be required
Skills
- Ability to read and comprehend simple instructions, short correspondence, and memos
- Ability to write simple correspondence
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees
- Knowledge of spreadsheet software and word processing software
Physical Demands
While performing the duties of this job, the employee is frequently required to sit and talk or listen.
Schedule
Monday-Friday 9:00am-3:00pm
Pay
$14.00-$15.00 per hour
