Receptionist
Job Overview
Provide assistance, guidance and direction to visitors and patients. Ascertain the nature of their business; assist and/or direct visitors and patients to various locations in the hospital when appropriate. Call for an escort when necessary. Receive telegrams, messages, flowers, common newspapers and other items; notify appropriate personnel for pick-up and/or delivery. Verify that the patient has not been discharged. Maintain logs of items received. Maintain files on patient requests for telephone service and/or calls transferred to and from patient rooms. Maintain directory and files on active and discharge patients, their location, patient status and other pertinent information according to the established procedure. Respond to inquiries regarding the patient's condition, perform other related duties as required. Maintain established department policies, procedures, commas objectives, quality assurance, safety and infection control. Assist in care and maintenance of department equipment and supplies.
Qualifications
- High School Diploma or equivalent
- Well-developed interpersonal skills with the ability to understand and communicate with people of varying cultures and abilities
- Must be able to work with the public and maintain poise in difficult, confrontational situations
- Filing skills; Good typing and computer skills
Scheduling Requirements
- Shift — 7:00am-3:00pm
- Monday – Friday, including every other weekend and holiday
- Full-Time Day
Essential Functions
- Serves as a resource person for the hospital by providing information in a timely and courteous way
- Greets visitors and imports accurate information regarding services, location, policies, and patients
- Answers the telephone within (3) rings and responds to requests in a timely manner; identifies self and the location the caller has reached, always remembering to ask, “How may I help you?”
- Maintains a professional but caring demeanor when communicating with visitors
- Issues passes to visitors and prepares requests for exceptions to the regular visiting hours' policy
- Exhibits fairness in distribution of visitor passes tempered with empathy as appropriate
- Makes an effort to remember visitors’ names and any particular situations applying to the patient visiting
- Provides clergy and other pertinent persons with assistance in locating patients
- Establishes a good working relationship with Security in order to maintain a pleasant and dignified environment in the lobby
- Develops a good rapport with nurses and physicians in order to assure lines of communication
- Keeps information files current and orderly at all times
- Is competent in information retrieval from the computer system and instructs other staff members and volunteers in use of the equipment
- On a daily basis, ensures that patients' mail is sorted and delivered to their rooms or forwarded to their home address if the patient has been discharged
- Accepts and forwards written messages to patients on a timely basis
