About the role
We are looking for a dependable Receptionist to support daily front desk and administrative operations in various locations. This role serves as the primary point of contact for visitors, staff, and vendors, helping the office run smoothly each day.
Responsibilities
- Serve as the primary point of contact for all inbound and outbound calls
- Greet visitors and manage front desk coverage
- Coordinate meeting rooms and assist with event scheduling
- Executive & Administrative Support
- Provide administrative support to the CEO, President, and COO
- Schedule meetings, appointments, and company events
- Prepare, update, and manage executive business cards and materials
- Aid in travel requests and itinerary coordination
- Finance & Purchasing Support
- Process expense reports and employee reimbursements
- Enter financial data and assist with basic accounting tracking
- Handle purchasing requests and vendor coordination
- HR & Employee Support
- Coordinate employee onboarding and offboarding
- Support new hire orientation and training logistics
- Maintain personnel files and administrative HR documentation
- Office Operations
- Manage shipping and receiving
- Maintain filing systems and office records
- Order and track office supplies
- Support preparation of event and promotional materials
- Provide general office and administrative support as needed
Requirements
Strong organizational skills, attention to detail, and a positive attitude are essential. Proficiency in Microsoft Office Suite and familiarity with basic administrative tasks are required.
