Receptionist
Responsibilities
- Welcome guests and customers with a friendly approach that creates a positive first impression.
- Manage a multi-line phone system by answering incoming calls, assessing needs, and routing inquiries to the appropriate team members.
- Cook up service appointments, confirm scheduling details, and work closely with technicians to support efficient daily coverage.
- Keep the front office neat and orderly while handling incoming mail, outgoing packages, and routine deliveries.
- Enter, review, and maintain accurate customer information within the company’s service management platform.
- Provide administrative support through invoice preparation, payment handling, and general clerical assistance.
- Partner with the operations team on special assignments and seasonal outreach efforts to support business needs.
Requirements
- Previous experience in a receptionist, front desk, or customer-facing administrative role.
- Ability to handle a multi-line phone system and manage a high volume of inbound calls professionally.
- Strong scheduling and organizational skills with attention to accuracy and follow-through.
- Experience entering and updating records in office or service-related software systems.
- Comfortable assisting with basic invoicing, payment processing, and general administrative tasks.
- Excellent verbal communication skills and a welcoming, service-oriented demeanor.
- Industry exposure to HVAC or a related service-based environment is preferred.
Qualifications
The ideal candidate will have a strong background in customer service and administrative support, with a focus on organization and multitasking. They should be able to work independently and as part of a team, and possess excellent communication skills to interact with both internal and external clients.
Skills
Proficiency in Microsoft Office Suite, familiarity with service management platforms, and ability to learn new systems quickly are essential. A positive attitude and a proactive approach to problem-solving are also key.
