About the role

The Receptionist plays a crucial role in ensuring exceptional customer service by managing the initial interaction between clients and visitors. This position requires a professional demeanor, strong technical skills, and the ability to work in a fast-paced environment.

Responsibilities

  • Meet and greet all incoming visitors and clients upon arrival
  • Offer refreshments to visitors as appropriate and ensure their comfort
  • Answer all inquiries from visitors or employees at the desk
  • Enter all visitor lists received via email and meeting room system into the building visitor system
  • Direct visitors or clients to the appropriate contacts
  • Cover the lobby desk for all firm functions to facilitate smooth visitor entry to the building
  • Answer and direct all phone calls, including internal hotlines
  • Aid with urgent requests such as guest wireless, mother’s room codes, etc.
  • Send welcome packages to internal visitors including directions to the office and support locations
  • Escorts to meeting rooms or host locations as needed
  • Provide tours where applicable
  • Assist with coat check, luggage, arranging taxis, etc.
  • Conduct daily audit of temporary badges, entering required data into the tracker and following up on non-returned badges
  • Follow Opensity Solutions and client policies and procedures, including safety regulations

Requirements/Experience/Qualifications

  • 2-3 years’ experience working in a service industry such as Hotel and Restaurant, Hospitality, and Event Planning preferred
  • Strong technical skills (Microsoft Office Suite, Google docs, audio/visual equipment)
  • Able to stand for extended periods of time
  • Works well in a fast-paced environment
  • Good listening and professional demeanor
  • Maintains an elevated level of professional appearance and demeanor
