About the Role

Serve as the primary representative for the credit union, creating a positive image while receiving visitors, guests, and vendors. Provide confidential, professional administrative support for the branch, including a wide range of duties requiring discretion and attentiveness to member needs. Manage lobby operations, scheduling, and ensure a well-organized, welcoming environment.

Responsibilities

  • Greet, receive, and screen visitors, guests, and vendors promptly and professionally; assess their needs and direct them appropriately.
  • Perform member lookups, balance inquiries, and provide copies of statements as needed.
  • Coordinate follow-through to ensure visitors' and guests' needs are met promptly.
  • Assist in scheduling and arranging appointments, meetings, business trips, and maintain the branch calendar.
  • Keep lobby and work areas clean, organized, and stocked at all times.
  • Monitor and maintain inventory of supplies and forms; notify supervisor when orders are needed to ensure uninterrupted operations.
  • Process, evaluate, and distribute all mail, interoffice correspondence, and deliveries; research and resolve distribution questions.
  • Utilize credit union procedures and computer applications, including email, internet, Word, spreadsheets, databases, and system software.
  • Perform other job-related duties as assigned.

  • Direct all visitors appropriately and professionally.
  • Accurately and promptly process mail and special deliveries.
  • Ensure timely, accurate, and error-free production and distribution of correspondence, memorandums, reports, and communications.
  • Keep files and records current and well-organized.
  • Minimize unplanned absences and tardiness.

Requirements

  • One month to twelve months of similar or related experience.
  • High school education or GED.

Skills

  • Strong interpersonal skills, with the ability to interact professionally with members, vendors, and colleagues.
  • Pleasant demeanor, cooperative attitude, and ability to work well with others.
  • Professional phone etiquette, including clear and distinct communication, and appropriate relay of information.
  • Experience with multiline telephone systems.
