About the Role

We are looking for a Receptionist to serve as our first point of contact and manage the front desk at Miracle Kids Success Academy (MKSA), an early intervention day treatment clinic for children with special needs. This role is ideal for someone with a knack for customer service and a strong work ethic.

MKSA provides services to children with documented developmental disabilities or delays, including fine motor delays, sensory disorders, gross motor delays, speech-language delays, hearing disorders, feeding disorders, cognitive delays, and medical needs. Our team includes licensed occupational therapists, physical therapists, speech-language pathologists, nurses, and a licensed psychologist. We serve children from birth to Kindergarten, with expanded services for elementary school-aged children during the summer months.

Responsibilities

  • Answer and screen incoming telephone calls and take messages.
  • Greet patients, families, staff, and visitors; monitor traffic flow to ensure only appropriate persons enter the clinic.
  • Ensure all visitors and patients sign in before entering the clinic.
  • Organize and maintain file systems, including filing correspondence and records.
  • Read and route appropriate mail; locate and attach files to correspondence.
  • Prepare outgoing mail and correspondence, including email and faxes.
  • Respond to requests for copies of patient medical records from agencies, professionals, and patients.
  • Make copies of correspondence or other printed materials.
  • Perform daily status checks of each Medicaid patient's treatment eligibility.
  • Break down and organize medical charts after patient discharge; scan documents as needed.
  • Complete check requests, word processing tasks, and update documentation.
  • Maintain a list of supplies needed and submit requests to the Director for approval.

Requirements

  • High school diploma or equivalent.
  • Ability to communicate effectively and professionally with a wide variety of people.
  • Experience working with children birth to age 7 and families who are at risk.
  • Strong organizational skills with attention to detail and accuracy.
  • Basic computer skills, including knowledge of database, word processing, spreadsheet, and internet software.
  • Ability to handle multiple tasks in a busy environment.
  • Ability to read, interpret, and write routine reports and correspondence.
  • Ability to speak effectively before groups of families or employees.
  • Basic math skills (addition, subtraction, multiplication, division) using whole numbers, fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions in written, oral, or diagram form.
  • Ability to manage problems involving several concrete variables in standard situations.
