Responsibilities
- Serve as the first point of contact for patients, visitors, and providers, delivering exceptional customer service in a fast-paced clinic environment.
- Answer and direct incoming phone calls, respond to inquiries, and relay messages promptly and professionally.
- Schedule, coordinate, and confirm patient appointments while maintaining provider schedules.
- Register patients, update demographic and insurance information, and maintain accurate patient records.
- Perform general administrative duties including filing, data entry, scanning, faxing, photocopying, and preparing correspondence.
- Maintain organized office records and databases while ensuring confidentiality of patient information.
- Collaborate with providers, medical assistants, and other departments to ensure efficient patient flow and a positive patient experience.
- Participate in department meetings, trainings, and other assigned projects while adhering to hospital policies and procedures.
Requirements
- A high school diploma or equivalent.
- Previous customer service, receptionist, or administrative experience.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities with strong attention to detail.
- Ability to prioritize competing demands in a fast-paced, patient-facing environment.
- Basic computer proficiency, including Microsoft Office and data entry.
- Demonstrated professionalism and the ability to maintain confidentiality.
- Critical thinking skills with the ability to work independently and exercise sound judgment.
- Ability to remain calm, courteous, and service-oriented while working with patients, providers, and staff.
Qualifications
- Associate degree.
- Previous experience in a medical office, physician practice, or healthcare setting.
- Experience scheduling appointments and coordinating provider calendars.
- Familiarity with electronic medical records (EMR/EHR) systems.
- Knowledge of medical terminology and healthcare office workflows.
- Experience handling insurance information, patient registration, or medical records.
- Cash handling or basic accounting experience.
