Essential Duties & Responsibilities
- Answers, screens, and forwards incoming calls, place outgoing calls.
- Retrive and route phone messages frequently.
- Sort and distribute mail daily.
- Arrange for mail pick-ups and transportation services as required.
- Greet clients, vendors, subcontractors, job applicants and other visitors.
- Assist Accounts Payable (A/P) as requested. Match checks with invoices and file.
- Attend meetings as required.
- Provide and insist upon quality customer service.
- Comply with company policies & procedures.
Qualifications
- 7+ years of receptionist, clerical, or administrative experience.
- Friendly and professional attitude.
- Excellent communication skills and ability to demonstrate conflict resolution skills when appropriate and needed.
- Bilingual in both English and Spanish is a plus.
- Highly organized, with the ability to manage several projects simultaneously in a fast-paced environment.
- Able to plan and execute tasks effectively.
- Maintain a high level of organization.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Experience with general office equipment. (Fax machine, Printers, etc.).
- Ability to maintain confidentiality and demonstrate honesty and integrity in your work.
- Shows a passion for service excellence with the energy and desire to make a positive impact in the organization.
Other
- Ability to work overtime on an as-needed basis.
- General work environment – sitting for long periods, standing, walking, typing, and bending.
- Occasional lifting of up to 30 lbs.
