The Opportunity
As the first point-of-contact for all guests and callers, the Receptionist greets and assists clients and the public both on the telephone and in person with courtesy, consideration, and professionalism. Duties include answering phones, handling mail, scheduling appointments, and providing administrative support.
- Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.
- Greet visitors or callers and handle their inquiries or direct them to the appropriate persons.
- Handles incoming and outgoing mail, including scanning and coding/indexing when necessary.
- Schedules and confirms appointments for clients, customers, or supervisors.
- Provides administrative support for all departments such as printing, filing, photocopying, data entry, scanning, binding and collating, downloading company reports, mail distribution and mail-outs.
- Performs other duties and projects as assigned.
Qualifications
- A high school diploma or GED is required.
- Knowledge/skills/abilities:
- Effective and professional communication orally and in writing.
- Ability to present information and respond to questions.
- Confidence and demeanor to interact with all levels within the organization.
- Ability to gather and analyze information and solve problems.
- Ability to prioritize and organize tasks.
- Knowledge of administrative and office procedures.
- Computer skills: proficiency with Microsoft Office Suite and Outlook.
Working Conditions and Physical Demands
- Primarily stationary position for the majority of the workday.
- Frequent communication with colleagues and clients.
- Constantly operates a computer and other office productivity machinery.
- Maintains work pace appropriate to general workload.
