Responsibilities
- Deliver top-notch service to guests, callers, and co-workers with warmth and professionalism.
- Direct incoming calls to the right team member; take messages only in special circumstances.
- Become a go-to expert in our phone system and train backup staff as needed.
- Support other offices with receptionist coverage when needed.
- Cook up incoming and outgoing faxes with accuracy and timeliness.
- Receive and distribute deliveries, ensuring they reach the right person promptly.
- Care for conference room schedules and ensure meeting spaces are ready to impress.
- Keep our common areas and lobby clean, tidy, and guest-ready at all times.
- Assign and manage security access fobs for the office.
- Complete data entry tasks and assist with special projects as needed to support the firm.
Requirements
- Minimum 1 year of previous experience in an office administrative role.
- Experience is preferred in the professional service industry.
- Previous experience as a receptionist working with multi-line phone systems is preferred.
- Experience with Microsoft Office products, including Windows, Word, PowerPoint and Excel.
- A professional, welcoming presence—both in person and over the phone.
- You know how to handle sensitive information with discretion.
- You stay on top of your responsibilities, meet deadlines, and find efficient ways to get things done.
