About the role
Charlotte Bay Rehab and Care Center is seeking a Receptionist to serve as the first point of contact for the facility.
Responsibilities
- Answer incoming telephone calls, determine the nature of calls, and direct callers to the appropriate staff or department
- Greet visitors, residents, and guests warmly and direct them to the appropriate location
- Issue and collect visitor identification badges and maintain visitor logs
- Assist department directors with administrative tasks such as typing reports, correspondence, and filing
- Support general administrative duties including document management, posting accounts, and record keeping
- Assist the payroll clerk with administrative functions as needed
- Maintain up-to-date directories including resident listings, room numbers, emergency contacts, and key personnel
- Track and manage key dates for contracts, renewals, and administrative deadlines
- Operate office equipment including copier, fax, and telephone systems
- Manage phone transfers, voicemail setup, and paging systems when required
- Order office supplies in accordance with facility purchasing procedures
- Provide information and directions to visitors, vendors, and residents
- Support inter-facility communication
- Receive, sort, and distribute incoming mail
Qualifications
- Minimum of 1 year of experience in a receptionist or administrative role (healthcare setting preferred)
- Strong communication and interpersonal skills
- Friendly, professional, and approachable demeanor
- Ability to multitask and stay organized in a busy environment
- Ability to make independent decisions and remain calm during emergency situations
- Must be able to read, write, speak, and understand English
- Strong commitment to teamwork and exceptional customer service
