Receptionist
About the role
The Receptionist will be responsible for answering and routing calls, greeting visitors, distributing mail, and handling various administrative tasks. The position requires strong communication skills, punctuality, and the ability to manage multiple tasks efficiently.
Responsibilities
- Answer telephone and route calls promptly, without leaving callers on hold for longer than 20 seconds.
- Greet visitors and notify those being visited.
- Receive, sort, and distribute mail.
- Receive and distribute phone and email messages.
- Notify appropriate personnel of any difficulties or dissatisfaction with office equipment and systems.
- Handle incoming office supply deliveries.
- Notify appropriate personnel of the occurrence and nature of any communication concerning problems with the heating or air conditioning or other building systems.
- Absent from the reception area only when guests are expected or notified that guests are expected.
- Assist in the preparation of any outgoing mail or packages.
- Assist with various projects as needed.
- Keep reception area straight and neat.
- Carry out all duties and responsibilities in an ethical and conscientious manner.
- Support and participate in the organization's continual improvement program and conform to ISO 9001 requirements by complying with the Quality Policy and procedures and meeting Quality Management System objectives.
- Understand the implications of not conforming with the Quality Management System requirements.
Requirements
- High school diploma, GED, or equivalent secondary education.
- Over two (2) years of administrative experience.
- Bilingualism in English and Spanish is considered a plus.
- Accurate typing skills.
- Legible handwriting.
- Pleasant, cooperative, and professionally dressed demeanor.
- Able to lift up to 25 lbs.
- Able to use close vision, distance vision, depth perception, and adjustment of focus.
- Able to pass a drug test.
- Able to work in a production environment.
- Personable, a problem-solver, reliable, and ethical.
- Able to work well with representatives of a variety of different entities - customers, suppliers, department employees, co-workers, and manufacturers' employees.
