About the role
The Receptionist is the welcoming first face of the Din Tai Fung Restaurant Support Center (RSC) in Pasadena, setting the tone for every guest, candidate, vendor, restaurant operator, and team member who enters the office.
Responsibilities
- Front desk reception, check-in & visitor experience: Greet, sign in and badge all guests, candidates, vendors, operators and team members as first point of contact; notify hosts of in-person arrivals (workplace chat); escort and provide white-glove care to high-priority and C-suite guests; keep the reception/lobby presentable; serve as a DTF brand & culture ambassador.
- Mail, packages & courier coordination: Receive, sort and distribute mail and parcels; schedule and receive couriers; sign for and secure deliveries; notify recipients via workplace chat.
- Facilities & office management: Monitor, restock and reorder office and pantry supplies; coordinate office vendors (cleaning, plants, water, coffee); liaise with building/property management and parking for maintenance, maintain pantry and common areas; coordinate access setup for new hires/departures with HR.
- Catering & office event support: Plan, order and coordinate catering for office events and meetings; manage headcounts, setup, catering deliveries and cleanup; support event logistics.
- Administrative support (general & EA): Data entry, filing, scanning, copying; onboarding/welcome-material prep; provide administrative support to the Executive Assistant(s), including delegated and ad hoc tasks as assigned; help executive meetings start smoothly.
Requirements
- High school diploma or equivalent
- 2-3 years of receptionist, front desk or administrative experience
- Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and/or MS Word & Excel
- Strong organization, communication and customer-service skills
- Able to prioritize competing front-desk demands and use sound judgment to determine what comes first
- Demonstrated ability to prioritize competing requests and adapt in a fast-paced office environment
- Comfortable using workplace chat (Google Chat) and AV/meeting technology
- Demonstrated discretion handling confidential and sensitive information
- Dependable, personable, and professional in presentation and demeanor
- Available onsite, Monday to Friday, 9:00 AM to 3:00 PM
Preferred Requirements
- Associate’s or bachelor’s degree
- Experience at a restaurant, hospitality, or multi-unit retail support center or front desk (corporate, professional-services, or law-firm reception also valued)
- Bilingual ability (Mandarin or Spanish)
- Hands-on experience with visitor-management/badging, package-tracking, and office security/access-control systems
- Experience in hospitality, corporate front-of-house, or executive-office-adjacent reception
- Experience supporting C-suite executives or their Executive Assistants
- Catering or meeting/event coordination experience
