About the Role
The receptionist will be the first point of contact for all incoming calls and guests arriving at the corporate office. This position serves as the primary front-office security monitor, responsible for observing and reporting unusual or suspicious activity, assisting with visitor access control procedures, and promptly notifying appropriate personnel of security or safety concerns. Confidentiality and professionalism are critical for this role.
Responsibilities
- Operate a multi-line telephone system, answer, screen, and forward incoming calls; provide information or take messages as necessary.
- Ensure the front desk has coverage at all times.
- Greet guests and follow protocol to inform employees of guest arrival, ensure guests are signed in, escorted as needed, or provided badges.
- Schedule meetings, maintain correspondence, and perform other administrative tasks as requested.
- Check conference room availability and reserve as needed.
- Monitor access to the corporate office and follow established visitor management protocols.
- Verify visitor identification as required and ensure all visitors are properly signed in and issued visitor badges.
- Observe, document, and promptly report suspicious activity, safety concerns, unauthorized access attempts, or security incidents to appropriate management personnel.
- Maintain confidentiality regarding security-related information, incidents, and surveillance activities.
- Coordinate with building security, property management, and emergency responders when necessary.
- Sort mail as needed.
- Maintain a clean, polished, and client-ready reception area.
- Regularly communicate with supervisor regarding any questions or concerns.
- Perform other related duties as assigned.
Requirements
- High School Diploma or equivalent required.
- 1+ year of office experience; front desk receptionist experience preferred.
- Basic to intermediate knowledge of Microsoft Office software.
- Demonstrated organizational skills and ability to learn and operate business tools, office technology, and office equipment.
- Ability to communicate effectively with internal and external customers, including senior and executive leadership.
- Ability to handle confidential materials and maintain confidentiality.
- Fluent in English, both oral and written.
- Ability to maintain regularly scheduled hours of business operation and occasionally adjust schedule to meet business needs.
- Prior experience in a receptionist, front desk, customer service, or administrative support role preferred.
- Ability to maintain situational awareness and exercise sound judgment when handling security-related matters.
- Ability to remain calm and professional during emergencies or unusual situations.
- Strong attention to detail and observation skills.
