Receptionist
Location: Hollywood, CA (On-Site)
Pay Range: $20.00 USD hourly
About the role
The Receptionist is responsible for greeting guests upon entry and checking them in to their respective areas. They are the first face people see upon entering the buildings. The receptionist answers and directs employees in a polite and friendly manner and maintains standard office equipment on a regular basis.
This position will require working in our Hollywood studio on a regular basis. Available to work overtime and variable shifts, including early mornings, late nights, weekends and holidays, as necessary per business needs.
Responsibilities
- Greet clients and employees, assisting them throughout their session
- Answer incoming calls, direct calls to the appropriate staff, and answer general inquiries (telephone, e-mail, walk-in)
- Work closely with the Scheduling department to maintain current production schedules
- Compose daily supervised and unsupervised session reports for the studio
- Assign and deactivate studio access badges
- Order, update, and assist with security audits for all offices, conference rooms, and bays
- Create facility tickets and enter studio ticketing system
- Distribute paychecks, log, and mail unclaimed checks
- Conduct onsite parking audits
- Conduct nightly security briefing with onsite personnel and review operation reports
- Communicate call times with Client Services department
- Liaison between employees and management as needed
- Create email distribution lists for show creations or departments
- Onboard new hires: Parking, badge ordering, input contact and picture in LDAP, confirming department and company aliases
- Compose weekend and holiday session reports for the studio
- Draft studio-wide memos
- Assist HR & Resource Management during employee offboard process by collecting company equipment and access badges
- Train new team members
- Other tasks as needed
Requirements
- Self-motivated with strong interpersonal communication skills and superior client service skills
- Excellent organizational skills with proven attention to detail
- Excellent written and verbal communication skills with a good command of the English language
- Ability to work in a fast-paced environment
- Resourcefulness and exceptional time management skills
- Strong knowledge of Microsoft Office software, including Word, Excel, PowerPoint, and Outlook
- Excellent typing skills
- Ability to lift/carry boxes weighing up to 20 pounds
- Ability to multi-task, prioritize, and work under high pressure with short deadlines
- Demonstrated experience using a multi-line phone system
- Demonstrated experience editing and composing business communications (e.g., letters, notices, e-mails)
