Essential Duties & Responsibilities
- Place outgoing calls, answer incoming calls, forward calls to party, take messages, when necessary, notify (by phone) employees that visitors have arrived.
- Provide prompt and courteous service: both on the phone and in person.
- Maintain office security by following safety procedures and controlling access.
- Provide basic and accurate information in-person and via phone/email.
- Maintain information regarding which employees are in or out of the office, as well as phone numbers where they can be reached when out of town.
- Receive, sort, and distribute mail/deliveries, as well as prepare outgoing mail/shipments.
- Maintain files on all delivery invoices.
- Prepare conference spaces for scheduled meetings, including ordering and setting up food, drinks, etc. as necessary.
- Close out kitchen/lunch areas daily and restock as needed.
- Provide administrative support, as needed.
- Promote the company safety culture and safety awareness throughout the company, projects, or office.
- Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.
Qualifications
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Positive, self-motivated professional with good communication and interpersonal skills.
- Solid communication skills, verbal and written.
- Ability to understand and implement best practice standards.
- Ability to multitask while delivering quality through attention to detail.
- Excellent organizational skills.
- Ability to adapt to change and stress in the work environment and manage competing demands while maintaining high performance levels.
- Ability to be proactive and resourceful when issues arise.
- Ability to follow-up on inquiries in a timely manner.
- Ability to prioritize multiple projects.
- Proficiency in MS Office Suite, specifically Word, Excel, and Outlook.
- Ability to build relationships with team members and clients.
- Ability to learn and use a variety of company-related software, tools and systems necessary to meet business needs.
Physical Demands and Working Environment
- Must be able to lift up to 25 pounds.
- Normal office environment.
- Frequent activity: sitting, viewing, and typing on computer screen.
- Occasional activity: standing, walking, bending, reaching above shoulder.
