About the Role
The Receptionist provides administrative support for the Workforce Solutions centers, supporting team members through a wide variety of advanced clerical and administrative tasks.
Responsibilities
- Maintains responsibility for general secretarial support functions to ensure efficient utilization of time.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail.
- Drafts written responses or replies by phone or e-mail when necessary.
- Proofreads all communications to ensure accuracy and clarity of final drafts.
- Ensures equipment and facilities are in appropriate working condition, serves as the primary point of contact for related work orders, and manages center logistics (e.g., room reservations).
- Keeps the career center “tour ready” at all times.
- Provides clerical support to in-house departments as needed (e.g., filing, mail-outs).
- Runs reports for the center (e.g., TWIST reports) as required.
- Retrieves information from files when needed.
- Serves as backup to the telephone switchboard, taking messages and answering routine and non-routine questions.
- Provides backup coverage for the center by offering customer solutions and employment services as necessary.
- Acts as a liaison with other departments, outside agencies, Board staff, and Corporate staff.
- Handles confidential and non-routine information and explains policies when necessary.
- Manages financial items, including collecting payments, data entry, and record keeping (e.g., TWIST, G drive).
- Performs other duties as assigned.
Skills
- Strong organization skills, attention to detail, thoroughness, and accuracy.
- Proficiency in multiple communication platforms, online resources, tracking tools, web integration technology, project management, and Microsoft Office Suites applications.
- Excellent verbal and written communication skills.
- Knowledge of professional writing, editing, and grammar.
- Preferred knowledge of workforce development, economic development, and project management.
- Ability to develop and maintain effective working relationships with management, coworkers, Board staff, and the general public.
Qualifications
- High School Diploma or GED required.
- Two years of related work experience preferred; additional work experience may be considered in lieu of educational requirements.
- Bilingual in English and Spanish strongly preferred.
Physical Demands
- Occasionally lifts up to 10 pounds.
- Subject to standing, sitting, bending, and walking to perform job duties.
- Requires visual acuity, speech, and hearing.
- Primarily works in an office environment.
- Occasional driving and travel required.
- Flexible hours may be required.
