Responsibilities

  • Greet clients and visitors professionally, positively, and helpfully.
  • Answer phones professionally and route calls as necessary.
  • Afford administrative tasks such as copying, scanning, and taking notes.
  • Manage conference rooms and kitchens, and ensure common areas are ready for use.
  • Ensure the reception area is tidy and presentable with necessary stationery.
  • Schedule appointments and meetings.
  • Manage intake, organization, and follow-up on client information.
  • Process client and/or bank requests for information, such as providing copies of tax returns and K-1's.
  • Coordinate the transmission of Electronic Return Authorizations, including uploading of tax returns.
  • Coordinate the sending and return of deliverables to clients.
  • Sends client 1040ES vouchers as required.
  • Assist with engagement binder roll-forwards.
  • File client information in appropriate binders.
  • Coordinate client authorizations to release information to third parties.
  • Follow up on engagement letters.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Associates degree or business college classwork preferred.
  • 3-5 years administrative or front desk experience preferred.
  • Extremely proficient with Microsoft Office Suite or related software, with the ability to learn new or updated software, specifically Microsoft Excel.
  • Experience in a professional services environment a plus.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent time management skills, organizational skills, and attention to detail.
  • Strong ability to balance multiple priorities and complete assignments within time constraints.
  • Ability to act with integrity, professionalism, and confidentiality.
